logoProperty Management company based in Manhattan is looking for a highly skilled, experienced, and detail-oriented Assistant Property Manager for a luxurious, high-traffic residential property.The successful candidate must have a successful record of managing all daily and long-term activities, and projects for resident services, operations and maintenance, billing and all property management functions for a large, high traffic residential property. Duties and responsibilities include, but are not limited, to the following:
Core ResponsibilitiesAccounts Payable, Billing & ArrearsPrepare as needed monthly financial reports, variance reports, and CAM reconciliations. Collaborate with accounting team to ensure all policies and procedures are properly and timely executed and followed.Complete billing timely, accurately and review for variance while collaborating with accounting team.Arrears management.Ensure invoices are handled properly per policies and procedures.Respond to ledger inquiries.Daily OperationsHandle property management operational tasks, and 100% compliance with established policies and procedures.In close partnership with the Property Manager, and Resident Manager coordinate tasks for a successful resolution of work orders for units, common areas, retail tenants. Ensure all resident matters, including work orders, general requests, and complaints are resolved timely.Support Property Manager with handling violations and provide any supportive documentation as needed.Process move-ins, move outs, review Moved platform, ensure proper documentation and scheduling.Resident ManagementEstablish and maintain positive relationships with residentsHandle resident related inquiries and related tasks.Handle incoming emails, calls, and resident visits.Communicates with residents regarding property related issues.Team CollaborationWork successfully with the Property Management team at SKY and corporate office to successfully and timely carry out all tasks.Create a positive, collaborative environment with the team at SKY to complete all tasks. Vendor ManagementSupport vendor management, invoicing and collaborate with Resident Manager, Property Manager and AP to ensure all invoices are handled properly.Answer incoming calls or email and direct to the appropriate team member as needed.LeasingSupport leasing functions as directed by Property Manager.Licenses, Permits, DocumentationMaintain documentation as instructed by the Property Manager and Corporate office.Identify gaps and escalate accordingly.Assure that all required licenses, permits and certificates are maintained, available and current for the property, equipment and personnel.
Position Requirements2 years+ of residential experience luxury real estate assets in Manhattan.Strong understanding of property, building management and real estate concepts.Previous Management of high rises/large residential assets required.Financial Acumen is a must. Accounting experience is a plus.Strong MS Office skills (emphasis on Word/Excel).Strong multi-tasking skills.Exceptional customer service and communication skills.Strong organizational skills.Ability to remain calm and thrive under pressure in a fast-paced environment.Time management skills.People management skills / Leadership.Property management software experience, Yardi, BuildingLink, Salesforce is a plus.
